Role Summary:
The successful Executive Assistant (EA) candidate will have a flexible, go-with-the-flow spirit and enjoy working within a rapidly growing Native nonprofit organization that is mission-driven, results-driven, and dedicated to supporting Native American tribes in their self-determined efforts to achieve energy sovereignty. The EA will be able to exercise sound judgment in various situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Key Duties and Responsibilities:
- Supports executives to stay on top of email, to prioritize key correspondences, and to remind about outstanding deliverables
- Support in writing reports and updates as needed to the internal and external stakeholders, managing active calendars for leaders from the management team
- Composing and preparing correspondence that is often confidential and containing sensitive tribal information
- Arranging complex and detailed travel plans, itineraries, and meeting agendas
- Researches, prioritizes, and follows up on incoming issues and concerns, including those sensitive or confidential
- Provides a bridge for smooth communication between internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff
- Work closely and effectively with managers to keep them informed of upcoming commitments and responsibilities, following up appropriately
- Completes critical aspects of deliverables with a hands-on approach
- Prioritizes conflicting needs; handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressure
Required Qualifications:
- Education: Bachelor’s degree or an equivalent combination of education and experience.
- Experience: At least 5 years of experience supporting senior management, preferably in a tribal or non-profit organization
- Proficiency in Google Workspace suite
Skills and Competencies:
- Strong understanding of Indigenous culture, values, and lifeways; experience living or working in a tribal community preferred
- Exceptional organizational skills with the ability to prioritize multiple tasks with attention to detail
- Strong interpersonal skills to build relationships with tribal leaders, staff, board members, and external partners
- Excellent written and verbal communication
- Problem-solving abilities, emotional maturity, and professionalism
- Highly resourceful team player capable of working independently
- Ability to handle confidential information with discretion
- Adaptability, responsiveness, and commitment to providing high-level service
- Proficiency in Google Workspace
- Ability to thrive in a fast-paced, multicultural environment while meeting high-performance goals and deadlines
- A forward-looking thinker who actively seeks opportunities and proposes solutions
